How the generator works
This tool uses a single form. Enter the business name, select an industry, choose the number of employees with the range picker, and tick the AI tools approved for staff use. The available industries are general business, healthcare, legal, financial services, accounting, retail, construction, education and other.
The approved-tools checklist includes ChatGPT, Claude, Microsoft Copilot, Google Gemini, Notion AI, Zapier and an option for other tools. The generator does not calculate a score or give a pass or fail result. When the form is submitted, it uses the supplied details to create a customised AI acceptable-use policy as a downloadable DOCX file.
What the document is based on
The business-specific parts of the document are based on the information entered in the form. This includes the business name, selected industry, employee count and approved AI tools. The result is pre-filled rather than a blank template that still requires those basic details to be added manually.
The statutory and legal content within the generated policy is maintained separately from the form. Its review date is inserted into the DOCX as “Legal content current as at [date].” Check that date in the downloaded document itself, as the brief does not specify a fixed review date.
Worked example
Consider a 12-person accounting practice called Harbour Ledger. The person completing the form enters “Harbour Ledger” as the business name, selects “accounting” from the industry dropdown, sets the employee range picker to 12, and ticks ChatGPT and Notion AI. They leave the other tool options unticked.
On submission, the generator creates a policy customised with the Harbour Ledger name, the accounting industry context and an approved-tools list containing ChatGPT and Notion AI. The outcome is not a checklist, assessment or score. It is a ready-to-distribute DOCX document that the practice can download and provide to staff.

Do I complete several stages?

What happens if I do not enter a business name?
The business name is a required field, so it must be provided before the form can generate the customised policy.
Does the tool decide which AI products my staff should use?
No. You choose the approved tools from the checklist. The generator uses those selections in the resulting document.
Does the tool provide a risk or compliance score?
No. It generates a DOCX policy from the information supplied. There is no score, ranking, pass or fail result.
Where can I find the legal-content review date?
Open the generated DOCX and look for the statement “Legal content current as at [date].” The date is stamped into the document.
